Careers Privacy Policy

By providing personal details, submitting an application (including where you undertake video interviewing) or CV, or registering interest for employment with the Macquarie Group of Companies ('Macquarie'), you will be disclosing information to Macquarie and therefore providing Macquarie with personal information, including your application data, gender (should you choose to disclose), right to work status, educational history and contact details ('your information'). Please note that, once entered, Macquarie will collect, use and disclose your information where this is necessary for the administration of the recruitment process and, where applicable, your employment/engagement with Macquarie, or where Macquarie has a legitimate interest in processing the data. For example, this could be for the following purposes:

  • to assess and administer your application for employment/engagement in accordance with Macquarie's recruitment and administrative practices (including conducting psychometric assessment and reference checks);
  • to communicate with you in relation to your application or other suitable roles within Macquarie;
  • to comply with any legal or regulatory obligations;
  • internal reporting; and
  • to monitor and review Macquarie's recruitment practices.

In carrying out the above activities, your information may be controlled and processed by any of Macquarie's officers, affiliates, agents, contractors and service providers worldwide. Where it is necessary for your data to be transferred to other jurisdictions, Macquarie will take steps to protect your information against misuse or loss and will comply with local law (where relevant) in respect of the transfer. Please do not submit your information if you do not want your information to be dealt with in the ways described in this notice.

If your application is unsuccessful, Macquarie may retain your information on file for 3 years and may contact you if another role arises (if you apply for another role before the 3-year mark is reached, the 3-year period for all information will re-start from the date you apply for that subsequent role). When the 3-year mark is reached, Macquarie will make best efforts to either delete, anonymise or put personal information about you ‘beyond use’ within a period of 3 months. Please contact Macquarie if you do not want Macquarie to retain your information on file. If your application is successful, Macquarie will retain your information as part of your employment records.

You are not required by law to submit your information, but Macquarie may not be able to accept or process your application for employment if the information is not supplied. You may request access to your information (and the correction of incorrect information) at any time by contacting Macquarie at privacy@macquarie.com. If you are in the European Union (EU) or the European Economic Area, you may also request that the personal data that you have submitted to us be transferred to another controller. Macquarie will address any such requests in accordance with the obligations applicable to us under the EU General Data Protection Regulation (GDPR).  If you are concerned about the way in which Macquarie has processed or used your personal information, you have the right to lodge a complaint with the Information Commissioner in your location, if available.

We want you to understand the categories of personal information we collect and the purposes for which the information will be used. Educational information, such as the schools you have attended and your degrees, and professional or employment related information about your qualification and background, such as professional licenses and employment experience. To determine your qualifications and make employment decisions. If your application is unsuccessful, Macquarie may retain your information on file for 3 years.  If your application is successful, Macquarie will retain your information for 10 years after the date employment ends.
Professional or employment-related information, such as references from previous employers, whether you have ever been sanctioned by a professional body, whether you are subject to any restrictive covenants, assessment results to measure your preferred working styles and aptitudes and information from your public social media accounts (such as LinkedIn, etc.). To process your application for employment at offer stage. If your application is unsuccessful, Macquarie may retain your information on file for 3 years.  If your application is successful, Macquarie will retain your information for 10 years after the date employment ends.
Information reported to us as a result of a consumer report or investigative consumer report that you authorize.               To process your application for employment at offer stage. If your application is unsuccessful, Macquarie may retain your information on file for 3 years.  If your application is successful, Macquarie will retain your information for 10 years after the date employment ends.
Voluntary identification of your race/ethnicity, gender, disability status and veteran status (you have the option to choose not to self-identify). To comply with governmental record keeping and reporting requirements and to measure the effectiveness of our recruiting efforts. If your application is unsuccessful, Macquarie may retain your information on file for 3 years.  If your application is successful, Macquarie will retain your information for 10 years after the date employment ends.
Information concerning your legal authorization to work in the United  States and whether you will require visa sponsorship now or in the future. To comply with legal requirements / ensure that you are legally authorized to work in the United States. If your application is unsuccessful, Macquarie may retain your information on file for 3 years.  If your application is successful, Macquarie will retain your information for 10 years after the date employment ends.
Biometric information such as fingerprints. To provide to securities regulators and, where permitted by federal, state and local law, to conduct a background check to determine whether to offer you a job.   If your application is unsuccessful, Macquarie may retain your information on file for 3 years.  If your application is successful, Macquarie will retain your information for 10 years after the date employment ends.
Visual information, such as photographic images, closed circuit television obtained from security cameras in certain locations in our offices and surrounding areas. To maintain the security and safety of our premises, personnel, equipment and information. 30 days
If you are a registered representative in the securities industry:
  • Uniform Application for Securities Industry Registration or Transfer (Form U4);
  • Uniform Termination Notice for Securities Individuals (Form U5);

  • Information collected by FINRA as part of its background check, including a description of physical characteristics, customer complaints and outcome;
  • Information that you provide to us as required by the securities industry;
  • Information from federal and state licensing organizations.

Additional information as described in our policies and procedures. To operate our business, maintain the security and safety of our premises, systems and employees, and protect the confidentiality of Macquarie Group information and our clients’ information.  If your application is unsuccessful, Macquarie may retain your information on file for 3 years. We retain all information related to your employment for 10 years after the date employment ends; we retain health and safety records for 30 years after the date employment ends.

We do not sell, share or disclose to third parties any personal information we collect from prospective employees.  

If you have visited our public website, we have shared your IP address, the URL you came from, and your interaction with the website with analytics providers for their use in cross-context behavioral advertising across multiple websites. About this Addendum

This China Addendum (“Addendum”) is a local supplement of the Careers Privacy Policy of Macquarie Group (“Careers Privacy Policy”) and intends to highlight the specific principles and rules that Macquarie (which includes Macquarie Investment Advisory (Beijing) Co. Ltd., Macquarie Investment Advisory (Beijing) Co. Ltd., Shanghai Branch, Macquarie Investment Consulting (Shanghai) Co. Ltd., Macquarie Commodities Trading (Shanghai) Co. Ltd., Macquarie Securities (Australia) Limited Shanghai Representative Office, and their branches, subsidiaries and related entities) (the “Company” or “we”) follows when processing your personal information during the recruitment process in accordance with the applicable laws of the People’s Republic of China (“China”, and for the purpose of this Addendum only, “China” refers to the mainland of the People’s Republic of China, excluding Hong Kong Special Administrative Region, Macau Administrative Region and Taiwan region).

Before you submit your resume and/or job application form to us, please read this Addendum carefully and understand the information provided herein. Please indicate your consent and separate consent to the specific processing activities described herein by checking the appropriate box and signing at the end of this Addendum.

 

Sensitive personal information

"Sensitive personal information" is subject to special protection under Chinese law. Sensitive personal information means the personal information that, once disclosed or illegally used, is easy to infringe upon the personal dignity of natural persons or endanger the safety of human life and property, including such information as biometric identification, religious belief, specific identity, medical treatment and health, financial accounts, and whereabouts, as well as personal information of minors under the age of 14.

We need to process your sensitive personal information (including your identification document information, criminal records and information on civil proceedings to consider your job application and decide whether to enter into an employment contract with you. Without such information, we may not be able to proceed with your application.

We will not process your sensitive personal information unless we have obtained your separate consent or are otherwise required by applicable laws and regulations. We take strict measures to protect your sensitive personal information.

 

Transferring your personal information outside of China

As Macquarie adopts a unified global human resources management framework, in order to consider and process your application, we need to provide your personal information to recipients located outside of China, including certain overseas affiliates of Macquarie group located outside of China.

In order to transfer your personal information to the overseas recipients, we will obtain your separate consent, and will ensure that the overseas recipients' processing of personal information meets the personal information protection standards prescribed by the applicable laws and regulations.

Names and contact details of the overseas recipients, the purposes and manners of processing, and the types of personal information to be transferred are set out in the below table.

Your rights

You are entitled to a series of legal rights with respect to your personal information held by us, including the rights to:

  • be informed of the processing of your personal information;
  • withdraw your consent to process your personal information at any time. Your withdrawal of your consent will not affect the validity of the personal information processing activities we have conducted based on your consent prior to withdrawal. However, please note that even if you withdraw your consent, we may still have the right to process your personal information based on another legal basis;
  • access your personal information and obtain a copy of it;
  • If you request the transfer of your personal information to a designated personal information processor, we will provide a means of transfer subject to the conditions prescribed by the applicable laws and regulations;
  • request correction and/or supplement of inaccurate or incomplete personal information;
  • request us to delete your personal information under certain circumstances. However, please note that we still have the right to retain your personal information even if you request us to delete it prior to the expiry of the retention period prescribed by the applicable laws and regulations;
  • stop or restrict our processing of your personal information under certain circumstances. However, please note that we are legally entitled to refuse your request under certain circumstances;
  • request an explanation of our personal information processing rules;
  • request explanation and refuse to be subject to a decision based solely on automated processing when we make a decision by an automated decision-making mode that has a material impact on your rights and interests; and
  • complain to and report illegal personal information processing activities to the applicable personal information protection authority.
